We accept online payment via PayPal which accepts all major credit cards.

To pay via check or purchase order, you must include your registered name with your payment.

Attendees with outstanding balances will be required to provide payment at check-in via credit card.

Guest Policy

Attendees may purchase a pass to bring one guest to attend networking receptions for $75. If you bring a guest, you are solely responsible for their conduct throughout the duration of the event. All guests must be 18 years of age or older, must be accompanied by you at all times, and are subject to all applicable terms outlined in the Conference Policies, including but not limited to the Professional Conduct Standards, Photography & Media release, and Health & Safety guidelines.

Guests are permitted access to receptions only and are not permitted in general sessions, concurrent sessions or any other conference programming unless separately registered. ECS reserves the right to remove any guest whose behavior is deemed disruptive, inappropriate, or harmful to others, without refund.

Transfers & Substitution Policy

Your registration is not transferable to any other person without the prior written approval of ECS.

Substitutions within your organization are permitted with written notice submitted to cdennis@ecs.org prior to the event.


Cancellation Policy


All cancellations must be submitted in writing to Caitlin Dennis at cdennis@ecs.org. Phone cancellations are not accepted. The following refund schedule applies:

No-shows are nonrefundable. Exception requests will be reviewed on a case-by-case basis at the sole discretion of ECS. Please note that canceling your registration does not automatically cancel your hotel or travel reservations. You are solely responsible for managing those separately and in a timely manner. Hotel rooms released late are difficult to reallocate and may prevent other attendees from securing accommodations.

Children & Age Restriction 


Guests under the age of 18, including infants, are not permitted in any conference sessions or receptions due to safety considerations, audio recording and maintaining an appropriate learning environment. For questions, please contact cdennis@ecs.org.


Guests

Guest passes to attend a networking reception are available for $75 on site at the conference. Guests must be accompanied by a registered attendee and are only permitted access to receptions. Guests must be 18 years of age or older.

Animals

Live animals are prohibited within the conference venue without prior approval, with the exception of guide or service animals as defined by the ADA. For questions, please contact cdennis@ecs.org.

Yes! Your registration includes:

• Breakfast & lunch on Wednesday and Thursday, and breakfast on Friday.

• Networking reception with appetizers and beverages.

• Light refreshments & coffee breaks throughout the event.

• Requested dietary requirements can be noted during registration.

At this time, the Annual Convening is an in-person event only. Select session recordings may be available after the event.

Yes. Substitutions are permitted within the same organization with written notification. Please email cdennis@ecs.org with the updated attendee information.

If someone from your organization will be attending in your place, please notify us by emailing cdennis@ecs.org. If no one will be attending in your place, please cancel your registration and refer to our cancellation policy below. Please note that canceling your registration does not automatically cancel your hotel or travel reservations — you are responsible for managing those separately.

We know life happens — please notify us as early as possible if your plans change.

Refunds are issued according to the following schedule:

A reminder that canceling your registration does not cancel your hotel reservation. Please contact the hotel directly to modify or cancel your room, and do so in a timely manner — late room releases are difficult to reallocate and may impact fellow attendees who are still hoping to secure accommodations.

By completing your registration, you agree to ECS and AEP's event terms, which include consent to the use of personally identifiable information for official event purposes, a liability release, a photo and video release and permission to include your name and professional details on the attendee networking list. ECS and AEP are committed to the security and confidentiality of your information and do not share registration data with third parties except as required by law.

The health and safety of all attendees is our highest priority. ECS and AEP, in partnership with the hotel, adheres to all applicable federal, CDC and local health guidelines. Hand sanitization stations will be available throughout the venue and regular cleaning protocols will be in place.

Masks are not required but are welcomed for any attendee who prefers to wear one. Proof of vaccination is not required. We respectfully ask that anyone feeling unwell, experiencing symptoms of illness or who has recently been exposed to illness refrain from attending in-person sessions. All safety guidelines are subject to change based on current public health guidance.

September is hurricane season. ECS will keep a close watch on storm forecasts leading up to the event and communicate any changes to attendees as soon as possible. Our first priority is the safety of everyone traveling to Jacksonville.
